Data protection information in accordance with Art. 13 GDPR
for the FUTURE TRANSPORTATION III event

Your registration and participation/visit to FUTURE TRANSPORTATION III - DataSummit2024, a joint sales event of KI performance GmbH (hereinafter also referred to as the "organizer") and its technology partners Microsoft Deutschland GmbH and Databricks GmbH is free of charge. We hereby would like to inform you how your personal data will be processed by the responsible parties in the course of your registration and participation as well as after your participation and after the event.

1.     In order to finance the event, your contact details provided during registration will be transmitted by the organizer to the technology partners and used by the organizer itself and the technology partners to contact you by e-mail for post-event follow-up and related communications and to send you promotional information on products and services by e-mail.

We ask you for your consent to do so and you are not obliged to give your consent to the transmission of your contact details and the use of your e-mail address; however, if you do consent, you will not be able to participate in the event free of charge.

You can withdraw your consent to the use of your contact data for promotional purposes at any time after the event with effect for the future and free of charge from the organizer and the above-mentioned technology partners. Further information and contact details for withdrawal can be found in the following notes below.

2.      Furthermore, the organizer will take photographs and/or video recordings of the participants present during the event (within a larger, unmanageable or controllable group of people or as an "accessory" to another motif, such as the speaker, the moderators or other persons significantly shaping the event or also to presentation objects or other presentations), use them for publication and also store them for this purpose.

Photos and/or videos will be taken by professional photographers, edited and made available after the event to the organizer and, if applicable, participants and press and PR representatives for promotional purposes of the organizer and or the KI group of companies or further events.

For public relations purposes, photos and/or videos may also published on the Internet, particularly the KI group of companies’ websites and presences on social media (XING and LinkedIn). If they are published on the Internet and social media, photos and/or videos can be accessed by anyone. Despite all technical precautions, it cannot be prevented that such persons may continue to use the photos and/or videos or disclose them to other and further persons.

In addition, photos and/or videos may be addressed to press representatives and other individuals and passed on and published as part of these bodies’ public relations work.

By participating in the event, you must expect to be the subject of corresponding photographies or video recordings.

5.     Purpose of processing:
Your contact data will be processed for the purposes of organizing the event and contacting you about the event as well as for promotional purposes by the organizer and the technology partners, each for their own purposes; the above-mentioned technology partners are controllers of your contact data in this respect.

The photos and/or videos are used exclusively for the public relations work of the organizer and PR and press representatives present.

6.     Legal basis for the processing:
The legal basis for the processing of your contact data for purposes of organizing the event is that of Art. 6 para. 1 s. 1 lit. b GDPR (which permits the processing of data to fulfill a contract or pre-contractual measures). The promotional use takes place on the basis of Art. 6 para. 1 s. 1 lit. a GDPR (which permits data processing on the basis of your consent).

The processing of photos and/or videos (collection, storage and forwarding to third parties (see under 3.) as well as the publication of selected image files in (print) publications of the organizer and the KI group of companies as well as on their websites or social media presences or similar is necessary for the public relations work of the organizer and thus serves to safeguard the legitimate interests of the controller, Art. 6 para. 1 lit. f GDPR.

7.     Duration of storage of personal data:
Your contact details will be stored for as long as they are required for the purposes of conducting the event and beyond that, subject to the revocation of the consent of the data subject, they will be stored for an indefinite period of time for as long as they are required for promotional purposes.

Photos and/or videos taken for the purposes of public relations will be stored for an indefinite period of time, subject to objection by the data subject. If they are published on the Internet and social media, photos and/or videos can be accessed by anyone. Despite all technical precautions, it cannot be prevented that such persons may continue to use the photos and/or videos or disclose them to other and further persons.

8.     Data subject rights: Under the GDPR, you are entitled to the following rights as a data subject:

a)     If your personal data is processed, you have the right to obtain information about the personal data stored about you. (Art. 15 GDPR)

b)     If incorrect personal data is processed, you have the right to rectification (Art. 16 GDPR)

c)     If the legal requirements are met, you can request the erasure or restriction of the processing and object to the processing (Art. 17, 18, 21 GDPR)

d)     If you have consented to the data processing or a contract for data processing exists and the data processing is carried out using automated procedures, you may have a right to data portability. (Art. 20 GDPR)

e)     If the processing is based on your consent, you have the right to withdraw your consent after the event has taken place with effect for the future and without incurring separate costs for the withdrawal. If you withdraw your consent, your contact details will be deleted and no further contact will be made; if deletion is not possible, your data will be blocked for marketing purposes instead.

f)      You have the right to object, on grounds relating to your particular situation, at any time to processing of personal data concerning you which is based on Article 6 para. 1 s. 1 lit. f GDPR (data processing on the basis of a legitimate interest); this also applies to any profiling based on this provision within the meaning of Article 4 para. 4 GDPR.

If you object, we will no longer process your personal data unless we can demonstrate compelling legitimate grounds for the processing which override your interests, rights and freedoms, or the processing serves the establishment, exercise or defense of legal claims. The objection can be made informally and should preferably be addressed to the controller(s) or their data protection officer(s).

If you make use of the aforementioned rights, the controller will check whether the legal requirements for this are met. Without prejudice to the aforementioned rights or any other administrative or judicial remedy, you have the right to lodge a complaint with a data protection supervisory authority in the event of data protection violations by the controllers (Art. 77 GDPR).
